The challenge
The clinic had five practitioners each managing their own paper diary. Patients couldn't book online, and intake paperwork was filled out in the waiting room — slowing down appointments.
Our approach
We deployed SimplyBook with five staff calendars, custom intake forms per service, automated welcome and prep emails, and a HubSpot CRM hand-off via Zapier so each new patient automatically became a contact.
The outcome
Front desk reclaimed roughly six hours a week, and online new-patient bookings grew by 38% in the first quarter.
